This Privacy Policy explains how SOB Game Changers LLC ("SOB," "we," "our") handles personal information through our website, tryout registration forms, SOB member portals, and SOB mobile app. Our services support youth football tryouts, teams, attendance, payments, and communication between authorized members.

2. Information we collect
The information depends on the service you use and your role as an athlete, guardian, coach, or staff member.
- Registration and athlete information: athlete name, date of birth, age group/division, grade, graduation year, school, height, weight, football position, shirt size, playing experience, strengths and improvement goals, and an optional Instagram handle.
- Guardian and family information: guardian names, email addresses, telephone numbers, and links between an athlete and their authorized guardian accounts.
- Waivers and choices: electronic signatures, waiver records, form submission details, acknowledgment of privacy notices, and separate permissions for an athlete app account and optional public use of photos or video.
- Program records: tryout session assignments and check-in numbers, roster and coaching assignments, schedules, attendance, evaluations, recruiting details supplied to SOB, and account status.
- Account and communication information: login details, account roles, profile pictures, messages and message metadata, notifications, safety reports, and account deletion requests.
- Payments: program amounts due, payment status, dates, receipts, and payment processor reference numbers. Payments may be handled by Stripe. We do not ask you to send complete payment card numbers in messages or registration forms.
- Technical and security information: information needed to authenticate users, protect accounts, deliver push notifications, investigate errors, and keep records of important actions. This may include IP addresses, timestamps, device identifiers, push tokens, and application logs.
- Information volunteered to staff: when relevant to safely participating, a guardian may voluntarily disclose emergency, health, or accommodation information. Please avoid putting sensitive information in routine messages when a private communication is more appropriate.
3. Why we use information
We use information to process registrations and waivers; administer tryouts and teams; communicate with authorized families and coaches; show schedules, attendance and payments; operate mobile accounts and check-ins; provide customer support; prevent abuse; investigate safety concerns; maintain required records; and process privacy requests.
Promotional use of an athlete's identifiable image, name, or video is optional and handled through a separate choice on the tryout form. Declining public media permission does not by itself prevent participation in tryouts.
4. Who can access it
Access is based on the member's role and relationship to an athlete. For example, coaches need certain team and participation information, while authorized guardians need information about their linked athletes. Administrators may access information necessary to run the program and address safety concerns. Some details that users choose to share in messages are visible to the other recipients.
Technology providers help us operate the services, including Supabase for accounts and data, Stripe for eligible payments, Firebase/Apple push notification services for notifications, and our website hosting and email delivery providers. Information is shared with these services as needed for those functions. We do not authorize partners to use children's information for their own targeted advertising.
We do not sell athlete personal information. We do not publish children's private records or contact information as a normal part of registration. Public athlete photos, promotional posts and recruiting disclosures require the relevant permissions and controls.
5. Children under 13
SOB serves young athletes. A parent or legal guardian normally completes the tryout registration form. Permission selected on that form to offer a mobile account is not, by itself, verified parental consent under the Children's Online Privacy Protection Act (COPPA). When verified parental consent is required for information collected online from a child under 13, we must give the parent the required direct notice and complete an appropriate verification process before activating those child-facing features.
Please read our Children's Privacy Notice for information about parental rights and how to contact us about a child's data.
6. How long we keep information
We keep records only as reasonably needed for the purpose for which they were collected, to protect participants, or to meet legal obligations. Our retention schedule for information collected online from children is described in the Children's Privacy Notice. We review youth program records after the tryout cycle and each season, and remove records when their purpose has ended, unless a legal obligation, payment dispute, or safety investigation requires that specific record to be kept longer.
Payment and accounting records, signed waivers, and records relating to a legal claim may need to be kept beyond a participant's season. Those records are limited to what is needed for the applicable purpose. Account deletion does not necessarily delete a separate family member's records.
7. Account deletion and privacy choices
Members can use Settings → Privacy & Data → Delete Account in the mobile app to submit an account deletion request. A request is not the same as completed deletion. SOB reviews requests, verifies ownership as needed, and aims to complete deletion within 30 days of receiving a request. We confirm completion when the process is finished. If a request requires extra verification or a legal hold, contact us for an update. A guardian may also contact us to request access to, correction of, or deletion of eligible child information and to withdraw permission for future collection or use. We may need to verify the guardian's identity first.
Contact sobgamechangers@gmail.com or call 279-253-5021 for privacy assistance, including changes to optional public media permission.
8. Protection of information
We use account access restrictions and technical safeguards to help protect data. No online service is completely free of risk. Please contact us promptly if you believe information was accessed or shared incorrectly.
9. Changes
We may update this notice when our services or information practices change. We will provide additional notice and seek renewed permission when required by law.
